If you are a business owner or manager, this post is for you! After 20+ years in this business, I have learned who makes a "good [bookkeeping] hire," and who ends up costing the company money. This is also not taken from anyone specific and is definitely not an insult to those in certain positions. It's just something I have learned by training and watching employees. However, I can say that most of my opinion on the matter comes from the last two years of training unskilled people in bookkeeping. The two ladies I have on staff are a PERFECT example of what type of person it takes to complete certain tasks effectively and efficiently. Ann-Marie and Ruby are a godsend!
Job Trait #1 - a willingness to learn and a sense of humbleness to admit when he or she doesn't know or doesn't understand a process.
Job Trait #2 - a bookkeeper either needs to already understand or be trained on debits and credits, assets and liabilities, bank transactions, check registers and reconciliations. If a business owner hires someone who doesn't understand these basics, ample time needs to be set aside to train the employee. No, we're not looking for an accountant here but let me give a real-world example.
>Most data entry on the expense side will be company overhead - utilities, payroll, benefit expenses. A bookkeeper needs to understand the difference between a cost and an expense and how it affects the profit and loss statement.
>Most data entry on the income side is either company revenue or loans to the company (either from the owner or a line of credit). I tell my bookkeepers to understand the difference between what affects the profit & loss and what affects the balance sheet.
>Print off your chart of accounts and highlight the most commonly used categories. Make sure the bookkeeper understands that if a transaction affects the balance sheet, he or she needs to make sure it is classified correctly. In other words, for most transactions, the bookkeeper needs to be comfortable with the balance sheet transactions or be humble enough to ask for help.
Job Trait #3 - understanding notes payable versus accounts payable. Several clients have accounts payable - bulk supply houses, fuel accounts, credit cards, different types of freight services - basically anything with net30 payment terms. Then there's note payables - loan accounts and lines of credit - basically things tied to an asset that generally has principal and interest.
>Make sure your bookkeeper understands that accounts payable usually doesn't have an interest charge attached to it if it is paid within the due date terms. However, a note payable will have interest. Decide how you want that interest classified (with each payment, recorded quarterly, adjusted annually).
Job Trait #4 - if your bookkeeper understands the difference between a check register transaction (live bookkeeping) and a journal entry, you're golden! And job trait #3 is almost guaranteed to be correct!
!! Please know if you disagree with me, these traits are a matter of my opinion AND fairly generalized statements. I have dealt with bookkeepers who are good at what they do simply because they care about the business. If you are a small business who follows our small business, what accounting/bookkeeping software do you use? I (Coe) started my career using Certiflex Dimension software and began learning QuickBooks two years later. QuickBooks Desktop (😍) and QuickBooks Online (🤮) are all I know. Recently I started working with a client who uses Xero. I would like to know what else exists besides QuickBooks and if anyone in FB land has ever transitioned away from QB. I asked my buddy Chat and he/she recommend QBO but I want a non-AI opinion as well.
Sidenote: I have also used Excel. I give it a 🏆

You will always convince me that Word of Mouth is the best advertising out there. And it’s free! It can also be detrimental. A negative experience can haunt your business and take time to recover. But a positive review or a simple referral can work wonders for a small business. Since October, Deer Cove Bookkeeping has grown 30%. Looking at the numbers from September 2025 to March 2026, it doesn’t look like 30%, but there’s days that Ann-Marie, Ruby and I can feel it! It’s amazing; it’s God’s Blessing but it’s also YOU! Today's *FRIDAY FAVORITE* is a business I kinda wish I had stock in, based on how often we utilitize their services AND how many of my family members do the same. Reliable service breeds loyalty and that's exactly how I feel about A+ Tire and Auto Repair. The owner, Erik and I grew up together. And when I say grew up, I mean it. Our moms worked next to each other their whole career (until his mom opened her own shop). My mom would take me to work with her; and Shirley would do the same with Erik. My first memory of him would be the two of us helping Shirley fill the water picks with a bucket of water. Then we'd walk down to the pharmacy for some M&M's. As we grew up, our moms would share stories of our unfavorable adventures. I'm sure it helped for two close friends to share notes and make sure one wasn't crazier than the other. See, I turned 16 and got my first speeding ticket before Erik ever got his license. We both had mustangs and a lead foot - a mother's dream!

Fast forward to now and Erik and crew literally keep our cars on the road. Erik's most endearing work quality is his no-BS approach to diagnostics, repairs, cost and longevity. He won't sell you on a product he don't think will last. He knows his customers and he knows what they need; and what they are willing to pay for...necessary or not! He has spent countless hours making sure the values he started his business with are as predictable as him going shirtless on the weekends! (And to that point, weekend-Erik is a lot more pleasant than work-Erik, but the latter won't keep me from constantly calling on him for help.)

I value A+ as much as A+ values me and I am so thankful it is a reliable, customer-oriented, semi-convenient business that I will continue to use for as long as I can!

Every now and then when I have a really good idea for our *FRIDAY FAVORITE,* I surprise myself that I hadn’t thought of it before now. Introducing MOVE FITNESS. However, Move isn’t really a business; it’s a lifestyle. Move Fitness was basically adopted. I (Coe) started my coaching career in November 2021. In July 2022, I took over the local CrossFit gym’s boot camp class. For years I heard athletes say, “I don’t feel like pushing too hard today; I just came here to move.” Coaches would say “scale to make the workout fit you. What’s important is that you are moving your body.” Knowing how much I wanted to coach the “scaled athlete,” the idea of JUST MOVING fit my style. Our boot camp class was renamed JUST MOVE. When I left the gym in November 2023, I renamed it and revamped it to a life group at Raising the Bar in Springville. We are Move Fitness or as I like to lovingly refer to them…my Move Ladies.

I love this group! I love what they represent and I adore their friendship. We aren’t about pouring sweat and off-the-charts heart rates. We get in, we chat, we warmup, workout and say our “see ya soons.” We lift each other up, pray for one another and miss those who have MOVED on…

So yes, I’m a coach, an athlete, a business owner… but I’m blessed by a terrific group of women who warm my heart and are good for my soul!!!

While this post has about 1% to do with bookkeeping and tax returns, it's purpose is to engage and invite content. Today is a weather for 87.4% of Alabama. I 100% got that statistic from my noggin but I also know that 33.3% percent of our household left for work this morning! My husband politely asked the other 66.7% of us to stay home. He did not want to have to come pull us out of an unknown ditch with 25% certainty that would happen!

So on the weather day, let's have a small discussion. What's the largest snow or ice storm you remember. Were you an adult or a kid in the huge snow storm of 1993? Were you trapped in the Snowpocalypse of 2014? Comment on this original post! We'll add some percentage points if you include a picture! I can tell you with about 99.9% predictability that if you comment, there will be a PRIZE!!!
