Do you have these five in your chart of accounts? QuickBooks gives you a default chart of accounts built for a service business of invoice out, payment it. But e-commerce is different. Missing one is a gap you can work around. Missing three means your P&L can't tell you whether you're profitable.

"Track your numbers" is useless advice when the numbers arrive pre-netted. By the time a Shopify payout hits your bank, the decisions have already been made for you. Fees taken. Refunds applied. Tax withheld.

The problem isn't watching your payouts closer. It's books that were never set up to break one apart. Once they are, a payout stops being a number you accept and starts being a report you can read.

Matching numbers usually feel like a good sign... This is the exception.

So when a P&L shows revenue that matches the deposits exactly, it can mean the books are recording the payout as the sale. Three things happen when they do:
→ Your revenue is understated. You sold more than you're reporting.
→ Your merchant fees never appear as an expense. A real cost of doing business, invisible all year.
→ Your margin can't be calculated, because the fee is buried inside the revenue line.

Nobody tells you when to file sales tax... until a notice shows up in the mail. It's even more confusing because it's not the same for every state and if you sell on more than one channel? Then you're keeping track of it more than once. If you've been guessing at your filing dates (or didn't know you had some), that's not a sign you're bad at this.
