Let's be frank: if every financial question, approval, or decision still runs through the owner, that's not a sign of a hands-on leader. It's a sign the system needs work.
This is common in growing businesses. Billing questions, vendor approvals, expense decisions, job details, report explanations — for a while, the owner being the go-to person for all of it works fine. But eventually, it slows everything down.
The problem usually isn't the team. It's the process. When staff can't move forward without asking the owner, that's often a sign of missing approval steps, unclear responsibilities, inconsistent documentation, or reports nobody fully trusts.
And owner dependency doesn't just create a bottleneck at the top — it creates delays everywhere. Invoices wait. Bills sit unapproved. Reports fall behind. Small issues stack up because nothing moves without one person's sign-off. The owner becomes the backup system for everything, and that's not sustainable as the business grows.
The fix isn't working harder to keep up. It's building clearer workflows — who's responsible for what, what needs review, and when something actually needs to be escalated to the owner versus handled without them.
When the owner is the backup plan for every financial decision, the business hasn't outgrown its leader. It's outgrown its process.
