Owe the IRS and can't pay it all? You have more options than you think. You may qualify for a monthly payment plan. An offer in compromise can settle for less if you doubt you owe it, can't pay within the collection period, or full payment would cause hardship. The IRS can't take your entire paycheck. Interest can be reduced or removed if the IRS caused an unreasonable delay or error. And the Taxpayer Advocate Service or a Low Income Taxpayer Clinic can help.

Have an IRS balance or notice? Accountico Inc. can help you choose the right option. Bookkeeping and payroll starting at $199/month.

Lunch with your business partner every day? A 1953 court case says that's probably not a write-off. 🍽️

A common audit red flag: treating every meal and trip as business because work came up. In Sutter v. Commissioner, the Tax Court said your own meals are presumed personal unless you can show they cost more than, or were different from, what you'd spend anyway. Later, in the Moss case, daily lunches among law partners were denied even though they discussed cases. Travel works the same way: if a trip is mainly a vacation, the airfare isn't deductible just because you answered emails.

Example: a client dinner can qualify, usually at 50%. Daily lunch with the same coworkers usually won't.

The fix: for every meal and trip, note who, where, when and the business reason.

A San Leandro bakery hiring its first counter person has paperwork to line up. πŸ₯ Here's the California paperwork, in order:

Before the first shift: get a federal EIN if you don't have one, and set up workers' comp (California requires it, even for one employee).

Day one: collect a federal W-4 and California's DE 4, complete Form I-9 within three business days of the start date, and put up the required workplace posters.

Then two EDD deadlines: register within 15 days after you pay more than $100 in wages in a quarter, and report the new hire within 20 days of their start.

If you run a small remodeling business in Hayward, 🚐 materials go on one card, gas on another, and receipts ride around in the van.

A monthly close means lining all of that up against your bank and card statements. That's how you'd spot a supplier who billed you twice for one order, or a customer deposit that never got matched to an invoice, while it's still easy to fix, and while the receipt is still readable.

Accountico Inc. offers monthly bookkeeping starting at $199 a month, with an experienced tax and accounting team behind it.

A logo on your car does not make your commute deductible. πŸš—

A common audit red flag: writing off the whole vehicle with no mileage log. Driving from home to your regular workplace is personal commuting, logo or not. The IRS expects a written record of each business trip (date, destination, purpose and miles) plus your total miles for the year, whether you use the standard mileage rate or actual expenses. Estimates don't count.

Example with made-up numbers: 20,000 total miles and 12,000 business miles is 60% business use, not 100%.

The fix: use a mileage app or simple log and record each trip when it happens, not at tax time.

Saturday lunch rush at your Oakland food truck, and one helper works your window every weekend, on your hours, paid on a 1099. 🚚

In California, that 1099 doesn't settle it. Under the ABC test, a worker is generally an employee unless the business can show all three: (A) free from your control and direction, (B) doing work outside the usual course of your business, and (C) independently established in that kind of trade. Serving food is a food truck's business, so part B is tough in an example like this.

Some exceptions exist, and the IRS weighs its own factors. Misclassification can mean back payroll taxes, penalties and interest.

One phone, two lives. πŸ“±

Running a salon in Fremont on one phone? It books your clients, texts appointment reminders, and calls your mom on Sundays. At tax time, that bill gets split: if you're self-employed or own the business, the business share is deductible and the personal share isn't.

Use a percentage you can explain, note how you got it (a normal month of calls and texts is one simple way), and pay the bill from your business account so it lands in your books.

Earning a W-2 paycheck instead? Those job costs generally aren't deductible on your federal return, and California treats them differently.

Selling C corp stock? Here's what the IRS wants: Form 8949, Schedule D, and Form 1040. Your holding period decides short-term vs long-term rates, and the 3.8% NIIT may apply above $200K single / $250K married filing jointly. Ask about QSBS (Section 1202), Section 1244, and the wash-sale rule before you sell.
