🚫 AI Myth: "You just set it up and it handles everything."

Reality: AI tools work well for predictable, repetitive tasks. But when something unusual comes up β€” an exception, a judgment call, a question outside the normal pattern β€” they need human oversight.

This isn't a criticism of AI. It's just what it is.

Getting sustainable value from AI means having someone in the business who reviews outputs, updates the setup when things change, and knows when to step in.

"Set it and forget it" is rarely the right expectation. "Set it, monitor it, and adjust it" tends to work better.

A simple intake checklist β€” agreement, payment, intake form, welcome message, first meeting β€” can make a real difference in how clients experience working with you right from the start.

When the steps are written down, they're easier to delegate, easier to check, and easier to improve.

One place to start: write down what should happen in the first 48 hours after a new client signs. That's your intake process.

That was my experience today.

Once I finally reached a representative, the actual issue took less than a minute to resolve.

And it got me thinking about something I talk about with business owners all the time:

How much of the customer experience is actually spent waiting?

Waiting for someone to answer.
Waiting for a callback.
Waiting for an email response.
Waiting just to find out who can help.

AI and automation don’t need to replace the human interaction. They can handle the simple things, answer common questions, collect information, provide updates, and route people appropriately so your team has more time for the conversations that actually need a person.

Because sometimes the problem isn’t the service.

It’s how long the customer has to wait to receive it.

When inquiries come in through multiple channels β€” email, forms, DMs, phone β€” it can be hard to see the full picture from one place.

That's not always a tools problem. It's often a visibility problem.

A simple starting point: pick one place where all new inquiries get logged, even if it's just a shared spreadsheet. Then you always have somewhere to look.
