Your Back‑Office Power Tool Tip

My family bought a new car recently - personal, not business - and it reminded me how often business owners ask how to add a business vehicle into QuickBooks without turning it into a whole saga.

Here’s the simple, real‑life way to keep your books happy:

• Create a Fixed Asset account for the vehicle
• Record the full purchase price (taxes + fees included)
• If it’s financed, add a Loan Liability account
• Set up an Interest Expense account so payments split cleanly
• Add depreciation to keep the value honest
• Track mileage if it’s used for both business and personal
• Attach the paperwork in QuickBooks so it doesn’t wander off

No drama. No spreadsheet meltdowns. Just clean books and a smoother ride for your business.

Halfway through a job and suddenly wondering, “Are we even making money on this?” You’re not alone - and you’re not doing anything wrong.

Job costing gets messy when you’re juggling crews, materials, subs, and receipts that vanish into the truck void. Most profit leaks come from tiny, untracked expenses.

Fix it with one habit: Assign every cost to a job the moment it happens.

It’s the difference between guessing and knowing - and knowing changes everything.

This is the clarity I help clients build.

Here’s Why Doing Your Own Books Is Costing You:

If you’re running a business and running your books… you’re probably losing more time (and money) than you realize.

The Pain Points:

- Late‑night “catching up” sessions
- Guessing on categories
- Missing receipts
- Stress every tax season
- Feeling behind even when you’re trying your best

The truth:

1. Handing off your books means time back:
- No more DIY QuickBooks rabbit holes
- No more weekend reconciliations
- More time for clients, family, and actual growth

2. Clean, accurate books help you save money:
- Catch deductions
- Avoid costly mistakes
- See where profit is leaking
- Make decisions based on real numbers

If you’re tired of doing it all yourself, that’s your sign.
Your time is valuable. Your books are important.
And you don’t have to carry both.

I’m excited to share that I’ve officially earned my Intuit ProAdvisor Payroll Certification! Payroll can feel intimidating for a lot of small businesses, but continuing to deepen my knowledge means I can make it smoother, cleaner, and stress‑free for the clients who trust me with their books. Grateful for the growth — and ready to put these new skills to work for the businesses building our communities.

This badge is awarded to individuals who have passed the QuickBooks Online Payroll Certification exam. Completing the QuickBooks Online Payroll certification program and earning a badge demonstrates your proficiency in the QuickBook Online Payroll application. As I’ve been working through my QuickBooks certifications, I hit a section on family pay and child labor rules—and it instantly took me back to my own childhood.

I grew up in a family‑owned bakery. My mom handled the books, my dad baked and decorated cakes, and I… well, I started my “career” in a giant mixing bowl that doubled as my playpen. As soon as I was old enough, I was helping wherever I could—not because I had to, but because being part of the family business felt natural. It was our world.

That early experience shaped how I see small businesses today. Family‑run operations have their own rhythm, their own challenges, and their own heart. And yes—when it comes to things like paying family members, hiring your kids, and staying compliant—they also have their own set of rules that can get confusing fast.

That’s where I come in.

As a Certified Bookkeeper who grew up inside a small business, I understand both sides:
✔ the real‑life family dynamics
✔ the real‑world compliance requirements
✔ and the need to keep everything clean, legal, and tax‑smart

If you’re a family‑owned business and want clarity on:
• how to pay your kids legally
• what counts as “family labor”
• what you can (and can’t) deduct
• or how to structure payroll the right way

I’d love to help you keep things simple, compliant, and stress‑free—so you can focus on running the business your family built.

“Clarity” gets thrown around a lot in bookkeeping, but here’s what it really means: Knowing what your numbers mean without guessing, Googling, or stressing.

Most business owners I meet aren’t confused — they’re just not being given information in a way that makes sense for their business.

A customized chart of accounts and a bookkeeper who explains things in plain language changes everything.

Clarity isn’t complicated. It’s simply understanding where your business stands so you can move forward with confidence.
