If you have paid contractors this year, October is a much friendlier time to make sure you have their information than January. 📂

Check your records and see what is missing.

1. A completed W-9 on file.
2. Their legal name and tax ID number.
3. A current mailing address.

1099s are due January 31, and you'll need all three to file them.

One email today is easier than chasing someone after the holidays while you are trying to close the year.

Do the quick check now and cross it off the list. Your January self will thank you.

Starting this week, give Tuesday a job: make it your fifteen-minute profit check. 📊

Pull your month-to-date P&L and look at two things:
1. What have you brought in so far?
2. What have you spent to get there?

Then pick one move to make before next Tuesday. Cut an expense, follow up on an invoice, rethink a purchase, or take another look at pricing.

That's it. Mine is Tuesday morning, before anything else gets loud.

A few quick check-ins before year-end give you time to change the quarter while you're still in it.

A service business can have a packed calendar and still be undercharging for the work. 👀

Say you billed $8,000 for a project.

Now subtract the contractor, software, supplies, revisions, and the extra hours your team put into delivering it.

What is left?

That number is much more useful when you are deciding what to charge the next client.

Nobody teaches you this when you start a business. I learned it the way most owners do, by running the math after the fact.

Before you raise prices for next year, look at what your current work is actually producing.

Still paying for business expenses from your personal card? Let's fix that before another year closes. 💳

Run business income through the business account.

Pay business expenses from the business account.

Then pay yourself on a clear schedule.

The cleaner that separation is, the easier it becomes to see what the business earned, what it spent, and what it can actually afford.

This is one of the most common things I see, and one of the quickest to fix. No judgment here, just a better setup.

A client of mine just hit her highest quarter ever, and it happened after she started checking her profit and loss every single month instead of once a year. 🎉

That one change to how she looked at her numbers shaped how she priced jobs and when she said yes to new clients.

Clean numbers change what you decide to do next. That is the part that surprises people.

She sent me a message about it that I may have read four times.

That's the whole reason I do this work.

Five subscriptions at $100 each don't feel particularly dramatic. Until you realize that's $6,000 a year. 😅

Software, memberships, apps, contractors, and recurring services have a way of sticking around long after the business stops needing them.

I did this for my own business last spring and found two I had genuinely forgotten about. It happens to all of us.
Pick one day this month and review every recurring charge.

Keep what earns its place and cancel what doesn't.

A 20-minute expense review can protect more profit than another month of ignoring the automatic renewals.

A service business owner came to us making consistent sales, but she still couldn’t tell how much cash was actually available to spend. 💰

Money was coming in, but every big decision still came with the same question: Can the business actually afford this?

Getting clear on cash flow changes that.

It shows you what is truly available, what already has a job, and what needs to stay set aside. Suddenly, spending decisions feel a whole lot less like a guess.

We helped her map out what was coming in, what was already committed, and what the business could comfortably use.

Now she has a system she can check before making a decision, without digging through transactions or second-guessing the bank balance.

Watching that click for someone is my favorite part of this job.

Consultants and agency owners: if October's retainer payments are already landing, make sure the income in your books matches what's actually happening in the business. 💻

Look at what was invoiced and what was paid to confirm the books reflect both correctly.

When you have several clients paying similar amounts every month, it gets surprisingly easy to miss one late invoice or one payment applied to the wrong place.

This is one of my favorite things to catch for a client, because it is almost always income the business already earned and just lost track of.

Ten minutes now can save a much longer investigation later.

If you filed an extension back in April, consider this your friendly one-week nudge. 📌

October 15 is next week!

Pull together your income documents, any 1099s or W-2s, and last year's return for reference.

Getting this together now, instead of the day before, makes the whole thing painless.

Every year I send this reminder, and every year someone tells me they had completely forgotten. That's exactly why I send it.
