One thing I see often in growing law firms:

Strong intake.
Strong marketing.
Strong case management.

But finance is reactive instead of structured.

If you can’t easily pull matter-level trust balances, referral splits, or projected cash flow — your systems aren’t aligned yet.

Growth increases complexity.

Financial structure has to grow with it.

Currently onboarding 1–2 firms.

Most law firm owners don’t actually have a time problem.

They have a structure problem.

I see firms spending hours each week on things that should already be automated:

– Tracking advanced client costs manually
– Reconciling trust accounts reactively
– Building reports from scratch
– Guessing at referral payouts

When financial systems aren’t structured properly, everything becomes dependent on memory and urgency.

Small operational fixes create real time freedom:
• Automated transaction flows
• Consistent IOLTA reconciliation processes
• Standardized referral tracking
• Monthly reporting that runs the same way every time

Law firms don’t need more chaos.
They need better systems.

If you’re growing and your financial processes still feel manual, I’m happy to share the checklist we use when building out workflows for firms.

Most bookkeeping problems in law firms don’t start with big mistakes.

They start with inconsistency.

Trust activity isn’t recorded weekly.
Accounts aren’t reconciled monthly.
Cash flow isn’t reviewed until something feels “off.”

By the time it’s noticed, it’s cleanup, not control.

At CLA Advisory Group, we help law firms build structured financial systems that prevent problems before they happen.

Trust accounting.
Cash flow clarity.
Accurate reporting.
Consistent reconciliation.

Compliance isn’t optional. Structure matters.

If you’re a law firm owner who wants your finances handled correctly, not reactively — message us.

Accurate financial reporting is not optional.

Timely reconciliations, structured expense tracking, and clean month-end closes are what allow leadership teams to make informed decisions.

If your books are delayed, unclear, or inconsistent, your strategy is operating on incomplete data.

Strong businesses are built on financial discipline.

Advanced client costs are one of the most misunderstood areas in law firm bookkeeping.

If you’re:
• Recording advanced costs as income
• Not separating them from firm revenue
• Or not tracking them properly against case expenses

Your financials are not accurate.

Advanced client costs are typically:
→ Assets when paid
→ Reimbursed later
→ Not firm revenue

If this isn’t structured correctly, it impacts:
• Profit reporting
• Case cost tracking
• Trust compliance
• And sometimes even tax reporting

Not every bookkeeper understands this distinction.

Law firm accounting is different.

If you’re unsure how your advanced client costs are being recorded, message me.

Most bookkeeping issues aren’t about revenue.

They’re about visibility.

I can’t tell you how many times I’ve seen business owners doing well, but they don’t know:

• What they can safely pay themselves
• Whether their payroll splits are correct
• If their bank accounts actually reconcile
• Or why their financial statements don’t match their reality

Bookkeeping isn’t just categorizing transactions.

It’s making sure the numbers actually tie out and tell the truth.

If your books aren’t fully reconciled monthly, your financials are guessing.

I’m currently onboarding 1–2 additional service-based businesses that want clean books, consistent month-end closes, and no surprises.

If that’s you, feel free to message the page.

QuickBooks cleanups are not just about categorizing transactions.

The real issues I usually see:
• Bank accounts not fully reconciled
• Payroll not split properly
• Old uncleared checks sitting for months
• Trust accounts not 3-way tied out

If you’re taking on cleanup projects, what’s the first thing you look at?

Always interesting to see how other accountants approach messy books.

18/02/2026

Common bookkeeping mistake I see in law firms:
Trust accounts not tying out monthly.

If your IOLTA doesn’t 3-way reconcile, that’s a compliance risk.

Here’s how to check in 5 minutes…
