Vibes are great for picking a café. They're less useful for deciding whether you can afford to hire.

Most business owners have a feeling about how last month went. Busy, so it must have been good? Quiet, so it must have been bad? The trouble is that feelings lag behind reality by about six weeks, and sometimes they're flat wrong.

Knowing your monthly profit doesn't take a finance degree. You need your books up to date, a simple report you can actually read, and ten minutes on the same day each month to look at it. Once that's a habit, the big decisions stop being guesses.

Quick calls add up because they don't feel like work. They do eat the time you'd set aside for work that pays, though.

Can I cover payroll if that invoice comes in late? How much should be set aside for the BAS? Did I ever pay that supplier?

The 2am spreadsheet in your head never balances, because you're doing it from memory, in the dark, with half the numbers missing.

It's much easier when the real numbers are already in front of you. Up-to-date books, a clear view of what's coming in and going out, and tax money set aside before you need it. Then the answers are there in the morning, and you can go back to sleep tonight.

Five hours a week on receipts, reconciliations and payroll adds up to 260 hours a year. At say $150 an hour, you're spending $39,000 of your own time to avoid a bookkeeping bill.

That doesn't count the decisions you made on numbers that were three months out of date.

Run more than one business and the admin multiplies: separate entities, separate payroll runs. One missed super payment or one transaction coded to the wrong entity, and fixing it takes longer than the job would have.

If your business is running at a loss, or cash is going out faster than it comes in, fast finance won't fix that. It only pushes the same problem to next quarter, with interest added.

The fix is less exciting, and it works:

⭐ Know what the business actually makes once every cost is paid
⭐ Move tax and BAS money into a separate account the day it lands
⭐ Stop drawing from the business account to cover personal spending
⭐ Check what's going out against what's coming in, every month, not just at tax time

Most owners who overspend don't realise they're doing it. That's the dangerous part.
